How Workero Reveals Insights into Office Bookings with Luzmo

Flexible work methods like co-working or flexdesks are winning in popularity. Our customer Workero gives this new way of working a boost! They recently launched the Workero platform, which makes office sharing easier than ever before.

To offer their customers more insights into their bookings, they use Luzmo as their partner for analytics. Read how they integrated Luzmo as a scalable solution for reporting.

Workero: The platform for sharing unused workspace

In short, Workero is a platform that helps companies optimize their office space. As a company or professional, you can either:

  • Book a desk, meeting room or event space to work
  • Rent out your own unused workspace to other companies, startups or freelancers

But it’s much more than that. Workero brings together a community of ‘working heroes’ from all industries to enable innovation and co-creation. Hence, you can use the app to connect & chat with like-minded people in the community or find events to attend nearby.

They work together with partners like EY, P&G and Proximus, who are opening up their office spaces.

Luzmo as BI partner to visualize booking data

The Workero platform has a lot of data available from partners, including data on bookings, payments, occupancy, and so on. Therefore, they saw the value of adding a solid reporting layer to the platform right from the start. In that way, they can share value-adding insights with their partners.

“There were several possibilities to inject reporting into our platform. However, because we’re handling so much data, it was an absolute must to find a software that allowed us to connect our data via API. This is one of the top arguments why we chose for Luzmo. Specifically, their open & flexible API allowed us to load data in a fast & easy way, without losing out on performance & scalability.”

Nina De Thaey – Marketing Manager at Workero

In addition to the technical ease-of-use, it was of utmost importance that the dashboards blended seamlessly into the Workero platform & branding.

“Luzmo has very advanced dashboarding capabilities. Besides, you don’t need any technical or programming knowledge to use them. Not only can I easily adapt the styling & colors to match the Workero brand, they also look good on every device, which is important for our partners, who are always on the go.”

Workero fully implemented the dashboards inside their application even before launching the full Workero platform. By doing so, they could go to the market with a fully operational reporting module on top of their powerful booking engine. The ease-of-use for both developers & business users made partnering with Luzmo the logical choice.

Personalized dashboards for Workero partners in 3 steps

In 3 steps, Workero went from raw booking data to an interactive dashboard for each partner. So let’s have a look at how they integrated Luzmo into their platform.

Step 1: Connecting the data

The first important data source for their dashboards is the Workero plugin. It was crucial for Workero to have a direct connection with their own API. In other words, this would allow them to synchronize all booking & occupancy data to Luzmo in a scalable way:

“Connecting our own API to Luzmo went smoothly. We had Luzmo’s extensive developer documentation to fall back on. Now, after this one-time set-up, our booking data loads into the dashboards automatically ánd in real-time. This saves our development team a lot of time, which they can now spend on the core platform.”

Nina De Thaey – Marketing Manager at Workero

The Workero plugin feeds all the dashboards related to bookings & occupancy of office space.

Next to managing bookings, Workero also runs promotional campaigns for partners to market their vacant office space. For these dashboards, Nina uses the Google Analytics connector and uploads social media data via Google Drive.

Step 2: Building the dashboards

As a Marketing Manager, Nina completely builds & manages the dashboards herself, without needing the help of a developer or data analyst.

The reports are centered around 3 key areas, which are of high value to Workero’s partners:

  1. Bookings
An overview of a partner’s bookings. Which offices are usually booked? How many days has a workspace been booked in a specific time period? Who usually books the partner’s office space? How much did they earn from renting out offices?
  2. Occupancy
Is the partner’s provided office space optimally occupied? Should they advertise more desks & offices on the Workero platform? Or perhaps less? Is this dependent on time?
  3. Marketing
How much has been spent on advertising? How many people clicked on Google Ads or Facebook Ads? Out of all those clicks, how many actually booked an office space? Which ads get most engagement: co-working desks or meeting rooms?

To illustrate, you can find an example of the Workero booking dashboard below, created with dummy data. Start filtering the dashboard to see how it works.

For example, select an office to drill down on the revenue for that specific office space.

Step 3: Integrating the dashboards into the Workero platform

Integrating the dashboards into the Workero platform was the last step before having their reporting operational. This is simply done by pasting the integration code snippet in their app. The dashboards will automatically show the data of the user that is logged in. The main advantage of that approach is scalability:

“In Luzmo, I can build 1 single ‘master dashboard’, instead of building a separate dashboard for each partner. When a user logs in to Workero, Luzmo automatically filters this master dashboard to show only the data this user has access to. This is a future-proof way for us to automate & scale our reporting when our user base grows internationally.”

Nina De Thaey – Marketing Manager at Workero
For example: a fictional partner, GeoGen, logs in to the Workero platform
The dashboard shows only the data for GeoGen, based on his login.

For Workero, this token-based security is a huge advantage. They can simply rely on their own platform’s authentication mechanism to filter the dashboards, instead of having to manually copy roles & users from their platform to Luzmo.

Scalability as key advantage

For ambitious companies like Workero, who are looking to grow & scale fast, choosing the right integration partners saves valuable time & resources. With Luzmo, Workero has found an analytics partner that can fulfill their reporting needs in every stage of their growth.
